At Megacall we present a new platform to help companies with the registration of working hours. This new software allows companies to keep a digital record of their workers’ schedules. Also, this new service helps you to comply correctly with the Law that requires companies to make a record of their employees’ working hours.
It is a simple and easy to use platform where you can quickly see the list of employees and their entry and exit times.
How does it work?
This system works by integrating VoIP phones, so if you already have an IP phone you can use it without any problem. On the other hand, it can also be included in your Virtual Switchboard or PBX by linking it with our platform.
Employees will have to dial a designated number or extension on their phone, and then dial 1 to do Log IN (entry) and dial 2 to do Log OUT (exit). It will be automatically registered on the platform with the ID or PIN, name, date and time of entry or exit.
You can register as many employees as you need and keep all the records as long as you need, there are no limits.
The interface is very intuitive and very easy to learn.
There are two systems to start the time recording on the phone:
- By caller ID recognition (can be an internal or external extension).
- Using a PIN assigned to an employee
With the dialing of any of these options on the telephone, the worker will be identified by the system and will begin the process of hourly registration.
There are three ways to use the software to record workers’ schedules:
Megacall PBX Extensions
If you already have an account with Megacall and use our PBX, all the active extensions in the PBX would be integrated and they will appear on the panel without needing to do anything other than keep control or registration. Employees will have to call to a designated extension and will have to register: indicate entry (dial 1) or exit (dial 2).
Phone Number Recognition (ID)
If you do not use the Megacall Virtual Switchboard, or have a mix of Megacall agents and remote workers, we would create an account from scratch so you can access the platform. The administrator will obtain the credentials of the program and once inside they will have to add the agents individually.
The administrator will have to indicate the telephone number from which the employee will call, they can have a maximum of 2 identifying numbers. When calling the designated registry entry number; the system will work as the previous case. It will recognize the employee by the number from which they are calling (ID) and they will have to register: indicate entry (dial 1) or exit (dial 2).
In the same case as the previous one, it would apply to those who do not use the Megacall Virtual Switchboard, or have a mix of Megacall agents and remote workers. The administrator will obtain the credentials of the program and once inside they will have to add the agents individually. Agents will obtain an automatic PIN that they will have to dial on the phone for the system to recognize them. Then they will only have to indicate entry (dial 1) or exit (dial 2).
Once inside the platform we can find two panels in the menu on the left.
Work Time Reports
Work Time Reports will display the list of employees, with their extension, ID or PIN, name, date and time of entry or exit. We can also add annotations or search for specific users through their name, the action taken (entry or exit) and the dates we want to consult.
A very useful functionality is the possibility of downloading this list in Excel format.
In this interface we can see the complete list of the company’s employees. We will see the name, extension number, ID or PIN, associated phone number and status. On the other hand, it will also be possible to add the annotations we need.
Furthermore, you can search for employees by name, number or status (active or deactivated). We can also export the list of users in Excel.
The price to start using this service is 9.95€/month + 9,95€ set up. VAT not included.
The price includes the use of the platform and unlimited users, so the administrator can create as many users as needed without any additional cost.
About the Law. Registration of working hours
This new system allows companies to comply with the Law that guarantees the daily registration of working hours, which must include the specific start and end time of each person’s workday.
On May 14, 2019 the European Court of Justice (ECJ) has ruled that all Member States must require employers to set up an objective, reliable and accessible system registering the effective daily working time per worker.
